POST: EXECUTIVE SECRETARY
- Department: Office of the Managing Director
- Renumeration: Grade C2 (Task Level 10)
- Location: Metrobus Head Office
PURPOSE OF THE JOB:
To provide a range of administrative support services to the Managing Director with a view to promoting administrative efficiency for rendering services of the MD’s office. The position further co-ordinates and organizes activities and requirements associated with the Managing Director’s Office through the application of administrative and secretarial procedures. It is responsible for execution of duties associated with the communication, planning, prioritization, and organization of critical and confidential appointments events/ functions and meetings in the MD’s Office.
QUALIFICATIONS AND EXPERIENCE:
- Grade 12/ NQF level 4 plus
- Three (3) year tertiary level Diploma / NQF level 6 Qualification in Business Administration/ or similar qualification at NQF level 6.
- Computer Literacy: demonstrable knowledge of MS-Office Applications, namely MS Word; PowerPoint; Excel and Outlook.
- A minimum of three (3) years’ relevant executive support role experience in a secretarial/clerical or administrative office environment.
KEY PERFORMANCE AREAS:
- Provide administrative support to the Managing Director’s Office, such as diary management; telephone handling; filing; minute taking for EMT meetings, etc).
- Monitor/track and report progress to MD all work assigned to EMT members.
- Responsible for receiving and dispatching goods and resources allocated to the MD’s office and accounts for all allocated items in the office.
- Liaises and communicates with Office Administrators and ensures that they remind Departmental executives about urgent duties and meetings to be attended.
- Maintaining comprehensive and accurate records of reports, memos and submissions received and dispatched by the office.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Responsible for maintaining good housekeeping; occupational health and safety standards in the MD’s office.
