EU Contractor Care Administrative Assistant


Working remotely from South Africa


UK timezone & working calendar aligned (Off on UK Bank holidays - working on SA Public Holidays)



We are looking for an organised and proactive Contractor Care Administrative Assistant to join our team. This role plays a key part in supporting contractor compliance, maintaining accurate records, and ensuring a smooth administrative process throughout the contractor lifecycle.


You will be on-boarded, trained and working closely with our European Contractor Care Consultant who is based out of our London office; however, your role can be delivered completely remote.



Key Responsibilities



● Carry out contractor compliance checks, including right-to-work and document verification

● Upload and maintain compliance documentation on internal systems

● Prepare and issue contractor onboarding and compliance documents

● Support status determination and insurance validation processes

● Monitor compliance reports and chase outstanding or expired documentation such as visas and insurance

● Assist with background screening checks

● Manage timesheet uploads and follow up on missing or outstanding timesheets

● Respond to general contractor queries in a timely and professional manner

● Support day-to-day administrative tasks relating to contractor care and compliance



About You



● Strong administrative and organisational skills

● High attention to detail

● Confident using systems and handling documentation accurately

● Good communication skills and a professional approach

● Able to work independently and manage multiple tasks efficiently

● Proactive problem solver with a positive attitude

● An interest/background in international compliance would be beneficial but not essential

● Right to work video checks (live passport check) and document completion.

● Upload of compliance documentation to itris

● Independence Questionnaire creation for all EU Countries

● Sending out TRUSTID links to contractors to complete RTW checks

● Key Information Document Creation

● Status Determination Insurance Validation Creation on Kingsbridge Portal

● Status Determination Audit report (currently done by legal)

● Status Redeterminations for each year – (currently legal would like to run this annually, but it’s not currently being done)

● Compliance report, chasing expired documentation such as insurance and visas on itris

● General Intime Queries

● Timesheet Uploads

● Timesheet Report Chasing

● General Contractor Queries

● Background screening
